  • Account information: Name, email address, and phone number when you create an account via Google Sign-In.
  • Business information: Business location names, vehicle inventory data (brand, model, year, registration, pricing, condition, features, and photos).
  • Team information: Staff member roles and permissions within your business locations.

2.2 Information Collected Automatically

  • Device information: Device type, operating system version, and unique device identifiers.
  • Usage data: App interaction data, features used, and activity logs within your business locations.
  • Log data: IP address, access times, and app crash reports.

We use the information we collect to:

  • Provide, operate, and maintain the Fleet-X application.
  • Enable you to manage vehicle inventory, team members, and business locations.
  • Facilitate team collaboration through invite codes and shared access.

4. Data Storage and Security

Your data is stored securely using Google Firebase (Firestore) for structured data and Cloudflare R2 for image storage. We implement industry-standard security measures including:

  • Firestore security rules that restrict data access based on authentication and role-based permissions.
  • Encrypted data transmission via HTTPS/TLS.
  • Authentication via Google Sign-In with secure token management.
  • Role-based access control (owner/staff) with configurable permissions.

5. Data Sharing

We do not sell, trade, or rent your personal information to third parties. Your data may be shared only in the following circumstances:

  • Within your business: Team members with appropriate permissions can view and manage vehicle data within shared business locations.
  • Service providers: We use Google Firebase and Cloudflare to store and process data. These providers have their own privacy policies governing data handling.
  • Legal requirements: We may disclose information if required by law or in response to valid legal processes.

You have the right to:

  • Access: View the personal data we hold about you through your account profile.
  • Update: Modify your name, phone number, and other profile information at any time.
  • Delete: Delete your account and all associated data through the app (Profile > Danger Zone > Delete Account). Note: you must first remove or delete all business locations you own.
  • Data portability: Request a copy of your data by contacting us.

7. Photos and Camera Access

Fleet-X requests access to your device camera and photo library solely for the purpose of capturing and uploading vehicle photos to your inventory. Photos are compressed before upload and stored securely on Cloudflare R2. We do not access or use your photos for any other purpose.
